Section: Help Center ### Hello everyone [#hello-everyone] So today we will learn how to create purchase request on Finuto and from that purchase request how to generate a purchase order. So for this first navigate to the purchases module. From this module click over the purchase request and from the Add PR button you will be able to see the create purchase request form here. In this form if you want to upload any document, you can upload it. ### Although it's not a mandatory thing [#although-its-not-a-mandatory-thing] Once it's uploaded, save it here. If you are an AP user you will get a option to edit the from field. But if you are a regular employee, your name will be automatically fetch over here. That cannot be editable. But the two field is editable. If there are multiple businesses, you will be able to select the business you want to share the your pr. So here like here if I'm changing it and this is my two business. So this the first field is needed by date till when you need this request to be fulfilled that you have to enter over here in the department field this department is automatically fetched based on the employees department. But if you want to change it, the whole list is coming and we can change it from here. ### The other field is the purchase category [#the-other-field-is-the-purchase-category] If you want to categorize your purchases and it's then you can select it from the list Location, billing address and shipping address will be automatically populated from your. Thus from the selection of the business in case if you want to edit it and if there is any other location available then also you can create it or you can select it from the drop down business unit. ### If there are business units then you can add it [#if-there-are-business-units-then-you-can-add-it] ### Although it's also not a mandatory field [#although-its-also-not-a-mandatory-field] Similarly LOB Cost center can be added and in the preferred vendor section here you will be able to see all the vendors which are available on the portal. So if you want to enter any preferred vendor you can add it or either you can skip skip it as well. Similarly if you want to have enter the Zoho reference id. If you have then you can enter else you can skip this as well. In the purchase reason you have to mention the reason for the request and then you can proceed with the next here in the search and select item you can search the item by the item name or by the item id. These items will be the items that are available in your organization's catalog which is present over here in the items card. So by using the item code or by using the name you are able to see this in case you want to add a new item, create a new item, then also you have the Option to create item. ### This item will be added on the catalog [#this-item-will-be-added-on-the-catalog] Okay, so here this is added. ### You can see the details over here [#you-can-see-the-details-over-here] These details are coming as pre filled because during the creation of the item or on the entering the items in the catalog here, these details have been filled. Like the price is filled and the GST is associated with this item is filled and the HSN code. These kinds of things will be filled from the items catalog. And once you will opt it that item it will be automatically populated. But in case if you want to edit it, you have the option to edit it. Like you can change the rate, you can change the quantity GST you can select in other details we have the option to enter the GL Business unit cost Center LOB location. If you want to enter these things for this particular item, you have the option to select it anytime and you can put comment as well. Now after clicking over the next you can see in the item summary here the item is coming with the total amount. In case if you want to edit it or delete it, you have the option to edit it or delete it. On going next here in the summary you will be able to see the whole summary of the purchase details which you have entered. ### And now you have two options [#and-now-you-have-two-options] Either to save it as a draft or later it can be edited and submitted. And the second option is to submit. For now I am going to submit by using the save button. Once this is done, this purchase request has been created and you can see under the document, that particular document will come under the Items tab, that item will come and in the approval workflow, if there is any approval workflow that is set for the PR that will come. So here you can see the approval workflow is in a pending approval state because it's required the approval of this particular user. So if I'm approving this after it got approved, the status will be changed to the pending port. Once it's in the pending port state, you'll get the option to create a purchase order from this pr. So by using this option create po, we are able to generate a po. ### All the details from the PR will be fetched [#all-the-details-from-the-pr-will-be-fetched] As you can see, in case if you want to edit it, you have you can edit it anytime. And if you want to add any terms and condition, then also you can add the terms and condition. Okay, these terms and condition will be set from the configuration section. ### Going next here that particular item is populated [#going-next-here-that-particular-item-is-populated] If you want to edit it or if you want to replace this item. This option is coming over here on going next and by using the save button you are able to save the pod. So once the PO is saved in the detail page of the PO you will be able to see the related PR where you will be able to see the identifier of the PR and if you click over it it will navigate to the PR from which this PO has been created. And if in the PR the same related PO is coming and on clicking over it you will be navigating to the po. So here in the PO you will be able to see the Documents tab Items Approval Workflow if there is any approval workflow like in PR it will appear over here and once it's approved and the status here changed to the pending delivery then we have the option in the pending acknowledgment state. And once it's acknowledgment acknowledged by vendor, if it's a vendor managed or if it's acknowledged by the AP user then once it's in the pending delivery state, when the PU is in the pending delivery state here we are getting the option to create GRN srl. So this is how from the PR a PO is generated and from the PO we can create a GRN srn. So this we will take over in our next videos where we'll proceed with the further processes of GRN SRN PO to GRN SRN to expense creation. So thank you for watching this video. ## Video transcript Hello everyone. This is optional. Once uploaded, we save it here. If we are AP users, we get the option to edit the 'from' field. For regular employees, our name is automatically fetched and cannot be edited. The 'to' field is editable. If there are multiple businesses, we can select the business to share our PR with. So here, if we change it, and these are our two businesses. The first field is 'needed by date' where we enter when we need this request fulfilled. In the department field, the department is automatically fetched based on our department, but if we want to change it, the full list appears and we can change it from here. The next field is the purchase category. If we want to categorize our purchases, we can select it from the list. Location, billing address, and shipping address are automatically populated from our business selection. If we want to edit or select another location we can create it or select it from the dropdown. For business unit, if there are business units, we can add them. This is also optional. Similarly, LOB and cost center can be added. In the preferred vendor section, we will see all vendors available on the portal. If we want to enter a preferred vendor, we can add it or skip it. If we want to enter the Zoho reference ID, we can add it or skip it. In the purchase reason, we mention the reason for the request and then proceed. In the search and select item section, we can search by item name or item ID. These items are from our organization's catalog, which is shown in the items section. By using the item code or name, we can find the item. If we want to add a new item, we have the option to create it. This item will be added to the catalog. Here, the item is added. We can see the details here. These details are pre-filled because they were entered during item creation or catalog entry. The price, GST, and HSN code are filled from the items catalog. Once we select the item, details are automatically populated. If we want to edit, we have the option. We can change the rate, quantity, GST, and select other details like GL, business unit, cost center, LOB, and location for this item. We can also add comments. After clicking next, we see the item summary with the total amount. If we want to edit or delete, we have those options. On going next, in the summary, we see all purchase details entered. Now we have two options: save as draft, which allows us to edit and submit later. For now, we will submit using the save button. Once done, the purchase request is created. Under the document tab, the document will appear. Under the Items tab, items will show up. In the approval workflow, if any is set for the PR, it will show here. We can see the approval workflow is in pending approval because it needs approval from a approver. If we approve this, after approval, the status changes to pending Quote. When it's in pending quote state, we get the option to create a purchase order from this PR. By using create PO, we generate a PO. All details from the PR are fetched. If we want to edit, we can do it anytime. If we want to add terms and conditions, we can add them. These terms and conditions are set from the configuration section. Going next, the item is populated. If we want to edit or replace this item, the option is here. On going next, by using the save button, we save the PO. Once the PO is saved, on the PO detail page, we can see the related PR, where the PR identifier is visible. Clicking it navigates to the PR from which this PO was created. In the PR, the related PO is also shown, and clicking it takes us to the PO. In the PO, we can see the Documents tab, Items, and Approval Workflow. If there is an approval workflow like in PR, it appears here. Once approved and the status changes to pending delivery, we get the option in the pending acknowledgment state. Once it's acknowledged by the vendor (if vendor managed) or by the AP user), and the PO is in pending delivery state, we get the option to create G R N S R N. This is how, from the PR, a PO is generated, and from the PO, we can create a G R N S R N. We will cover the next process like PO to G R N S R N to Expense creation in our upcoming videos. Thank you for watching this video. # Create a GRN/SRN from a PO and raise the expense Source: https://help.finnoto.in/help/procurement/create-grn-srn-and-expense Product: procurement Summary: Record goods or services received against a purchase order, then generate the expense from that receipt. Section: Help Center In this tutorial, you'll learn how to create a GRN SRN from a Purchase Order (PO) and generate an expense from the GRN SRN. Start by recalling our previous discussion on creating a purchase request and generating a PO from it. Now, let's create a GRN SRN from the PO. When the PO is in a pending delivery state, you'll see an option to create a GRN SRN under actions. In this state, you also have the option to record or create an advance, or add a GRN SRN user. A document from the PO is automatically generated in PDF format. Share this with the vendor using the Send Email option. ### To create a GRN SRN, click on Create GRN SRL [#to-create-a-grn-srn-click-on-create-grn-srl] In the Create GRN SRN form, the PU number is automatically fetched. Enter the Chalan number if available, select the receiver, and enter the receiving date. You can add any comments or attach documents using the Add button. The items in the PO are reflected under the item section. Select an item and check its details. ### The total required quantity in the PR was 5 kgs [#the-total-required-quantity-in-the-pr-was-5-kgs] In PU also it was 5 kgs. In the GRN SRN, you can accept or reject as per the product received. After saving, you'll see the GRN SRN generated from the PO. If there's a workflow set, follow the approvals to get it in the approved state. In the Info tab, you'll see the requested PO, the related PO, and the PO status changed to completed after the generation of GRN SRN. ### Under the document section, you'll find the auto-generated PDF [#under-the-document-section-youll-find-the-auto-generated-pdf] In the Items section, you'll see the items that you've created in the GRN SRN. ### In the node section, any generated node will appear [#in-the-node-section-any-generated-node-will-appear] ### Under actions, you have the option to attach an expense [#under-actions-you-have-the-option-to-attach-an-expense] You can either attach an existing expense between the vendor and the client or create a new one. ### To create an expense, select the document file [#to-create-an-expense-select-the-document-file] Once uploaded, all details will appear in the expense. ### Add the invoice number and enter the due date [#add-the-invoice-number-and-enter-the-due-date] ### The department is automatically fetched [#the-department-is-automatically-fetched] ### You'll see the item from the GRN SRN [#youll-see-the-item-from-the-grn-srn] Next, you'll see the GST amount and the total GST. In the summary, you'll see other details mentioned during the creation of the expense. ### Save the expense [#save-the-expense] If you want to save it as a draft, you have that option. Once saved, under the Info tab, you'll see the related PO, PR, and GRN SRN. ### Under the document section, you'll see the document [#under-the-document-section-youll-see-the-document] ### Under the item section, you'll see the items [#under-the-item-section-youll-see-the-items] If there's an approval workflow set for the invoice approval, it will appear here. Under notes, you'll see the approval workflow that has been generated. Once approved, you get the option to record payment. ### Proceed to payment and select the mode of payment [#proceed-to-payment-and-select-the-mode-of-payment] After recording the payment, the whole process is completed. The process started from the PR, from which the PO was generated. From this PO, a GRN SRN was created and from this GRN SRN, the invoice was completed. Once the payment is done, you can see the payment details under the payments table. That's how you create a GRN SRN from a PO and generate an expense from the GRN SRN. ## Video transcript Hello everyone. Today, we will learn how to create a GRN SRN from a PO and how to create an expense from the GRN SRN. As we discussed earlier, we have already shown how to create a purchase request and how to generate a PO from this request. Now, let's look at how to create a GRN SRN from the purchase order. As mentioned before, when the PO is in a pending delivery state, we get the option to create a GRN SRN under actions. We also have the option to record or create an advance at this stage. If we want to add a GRN SRN user, we can do it here. When the PO is in a pending delivery state, a document from the PO is automatically generated in PDF format. We can share this with the vendor using the "Send Email" option. This option lets us notify the vendor about the purchase order and send the purchase order document. This way, an email goes to the vendor. To create a GRN SRN, we click on "Create GRN SRN". In the Create GRN SRN form, the PO number is filled in automatically. If there is a Chalaan number, we can enter it or skip this step. We need to select the receiver and enter the receiving date. If we want to attach any documents, we can use the "Add" button. The items in the PO show up under the item section. We select the item and check the item details. The required quantity in the PR was 5 kilograms, and it was the same in the PO. In the GRN SRN, we can accept or reject based on the product received. If we enter "5" and save, we can see that the GRN SRN is generated from the PO. From the GRN SRN, we can see that no workflow is set. If a workflow is set up, just like PR and PO, we need to follow the approval process until it is approved. Here, in the Info tab, under the request PO table we can see, the related PO, and the PO's status, which changes to "completed" once the GRN SRN is generated from the PO. This is if all items are covered in the GRN SRN. In the document section, an auto-generated PDF will appear soon. In the Items section, we can see the items for which we created the GRN SRN. If any notes are present, they will show up in the note section. , we can see the generated GRN SRN receipt document. Once the GRN SRN is created and approved, we can view the details. In the Actions section, we have the option to attach an expense. If an existing expense exists between the vendor and the client, we can attach that to this GRN, or we can create a new expense. For now, we will create a new expense. We need to select the document file here. Once it is uploaded, all the details appear in the expense. The only required information is the invoice number. If we enter the due date, the department is filled in automatically. The expense set POC is already attached, and location and other details are filled as per the PO. Moving forward, we can see the item that is in the GRN SRN. Next, we can view the GST amount and the total GST. In the summary, we can see other details entered during the creation of the expense. To submit, we just use the save button. If we want to save it as a draft, that option is available. For now, we are submitting it. Once the expense is saved, it is done. Under the Info tab, we can see the related PO, PR, and GRN SRN. By clicking on the identifier, we go to the current document. In the Document section, we find the document. In the Item section, we see the items. If there is an approval workflow set for invoice approval, it will show up here. In the Notes section, we can see the generated approval workflow. Once the invoice is approved by the approvers, it can be paid. We will show this by approving the invoice. After approval, the option to record payment becomes available. By going to payment and selecting the mode of payment, we can record the payment. With this, the entire process is completed. It starts with the PR, from which the PO is generated. From this PO, a GRN SRN is created. From this GRN SRN, the invoice process is completed. Once the payment is made, we can see the payment details under the Payments table. This is how we proceed with the creation of GRN SRN from the PO and the creation of expenses from the GRN SRN. Today, we will show you how to set up document preferences for vendors on the AP portal, as well as how to invite a vendor from the portal. To start, go to the Configurations menu. Next, click on Document Preferences. Here, we can setdocuments which vendors need to (COI), submit during select onboarding or for KYC documentation. There are several options here. To set a common document requirement for all vendors, select the common tab and click the "add new" button. A selection list is available with some pre-loaded documents. For example, to add a Certificate of Incorporation it and choose whether vendors must upload this document or not. Save the changes and the document will appear under the tab you selected. Now, the COI is a required document for the vendor to upload. In the mandatory column, you can enable or disable the requirement for the document. If you want to deactivate a document, simply click to deactivate it. The deactivated document will move to the inactive tab and be removed from the document reference list. If you need to add a document that is not in the selection list, use the "other documents" option. Select it, enter the name of the document then description and, if needed, upload a sample of the document. Uploading a sample helps vendors understand what the required document should look like. You can upload the sample document here. The document can be a. jpg,. png, or. pdf file. You can set whether it’s a mandatory or non-mandatory document. You can also set an expiry date if needed. The document will then appear in the list. If you are working with a private limited company and need to set specific documents for these vendors, you can do that here. Toggle the switch and click the "Add New" button. The same process applies here. Now, let’s look at the other document you’ve added. Here by using the configuration option you can also add custom fields as per your requirement, such as a date field or any other type of field you need. Field types can include numbers, dates, date ranges, strings, and text areas. If you need a specific customization for an added document, you can do that here. This new field will appear, and you can set whether it’s mandatory and its priority. This is how we set the document preferences for a vendor. Now, let’s move on to inviting a vendor from the portal. Go to the "Parties" section, then click on "Vendor Invitation". On the Vendor Invitations page, we can invite the vendor. There are two options: either copy the link and send it to the vendor by email, WhatsApp, or text message. When your vendor clicks the link, they can sign up and complete onboarding. The second option is to enter the vendor’s email ID and then share the link. The vendor will get an invitation with the onboarding link in their email. By following the steps, they can easily onboard to the Finnoto portal. If you are looking for the client ID, it is provided here. If the vendor has already signed up but needs the client ID to connect with your business, then you can find it from here. The client ID is also sent in the email invitation. So this is how we can set up document preferences for the vendors and send vendor invitations from the Finnoto portal. Today, we're going to guide you through the process of onboarding a vendor on Finnoto. The AP user from your organization will need to navigate to the Parties menu and select the 'Vendor Invitation' option In the upper right corner, there's a button labeled 'Invite Vendor'. By clicking this button, the Vendor Invitation model will appear. Here, you are presented with two options. You can either copy this link directly and share it with your vendor, facilitating their sign up on the Finnoto portal. Alternatively, you can enter your vendor's email address and share this link. Once shared, an invitation will be sent from Finnoto to your vendor's email account. Upon clicking the link in the email, the vendor will be directed to the Finnoto sign-up page. Here, they will click on 'sign up', fill in their name, email address, and password, and then click 'next'. The vendor will then receive an email with an OTP on their registered email id They should copy & paste this verification code, click on 'verify', and then 'continue'. Next, the vendor can create a new business by entering the registered GSTIN of their business The details related to this GSTIN will be automatically fetched Once confirmed, the vendor can click on 'next' The PAN and GSTN certificate number will be fetched from the data entered by the GSTIN. Clicking 'next' will then prompt the vendor to input their bank account details Vendors classified as MSMEs will need to provide their MSME details. Vendors with a lower TDS certificate must also provide this information. You can complete the vendor onboarding process by clicking 'next'. If you're logged out, your screen locks, or the window is accidentally closed, simply log back in using your credentials. Once logged in, navigate to the "Clients" menu, select "My Clients", and add a client by clicking the "Add Client" button and using the client id that was provided in your invitation email. If there are no interruptions and the window remains open after onboarding, you can proceed with connecting to the client. After successfully onboarding the vendor on the Finnoto portal, the next step is to connect with the client. Initiate this by clicking on the 'Connect' button. Your business details and client ID will be displayed here. Using the client ID all businesses associated with this client will appear. Select the specific business you wish to connect with. If the window is closed after vendor onboarding and you are logged out, log back into your vendor portal, navigate to the 'My Client' section, and click on the 'Add Client' button. Here, enter the client ID provided in the invitation email, or you can directly ask your client for the client ID. Upon entering the client ID all businesses associated with this client ID will appear. Select the client business you wish to connect with. In the documents section The GSTIN number will already be present, but you will need to upload the required file. Upload the PAN card document If the client requires any additional documents, provide the necessary information and add the required document. The bank account you entered during the onboarding process will appear as the default. You can upload the cancelled cheque, and if you wish to enter details for the MSME category or L. T. D. S, you are free to do so. The client's terms and conditions will be presented for your review. If you are in agreement, kindly mark the checkbox and proceed by clicking 'Submit'. This will send an invitation to the AP user or client who has the authority to approve the documents and the invitation. Currently, the invitation is in a pending state, indicating that the vendor is not yet able to raise an invoice as the connection with the client is not yet established. The process of raising an invoice between the client and the vendor can only be initiated once the client approves the invitation. The vendor's invitation will then be visible to the AP user The AP user has the choice to approve the documents by clicking on the documents. Alternatively, they can choose to reject the idocuments, allowing the vendor to resubmit the documents if the invitation is not approved Upon approval of the invitation the AP user can confirm the vendor's invitation Following approval, the vendor's invitation will appear in the approved section, and the client will be listed in the 'My Clients' section. At this point, if the vendor raises an invoice, they will have access to the client's details, provided the client has approved the invitation. This is the simple and efficient process for onboarding a vendor on the Finuto portal. Thank you. # AR portal overview Source: https://help.finnoto.in/help/receivables/ar-portal-overview Product: receivables Summary: What the Accounts Receivable portal shows and how customers, invoices and collections are organised in it.
